Athens International College places particular importance on security and respects the privacy and confidentiality of your personal data. For this reason, we invest time and resources in protecting your privacy.

The College takes all appropriate organisational and technical measures designed to protect information against loss, misuse, unauthorised access, disclosure, alteration or destruction, and ensures the fair and lawful collection and processing of personal data, as well as its secure storage.

As part of this commitment, we continuously keep ourselves informed and provide ongoing training in order to ensure full compliance with the applicable national, European and international legal framework, and in particular with the European Union General Data Protection Regulation (EU) 2016/679 (“GDPR”).

Purpose of this Policy

We wish to inform you about the manner in which your personal data is collected, stored, used and transferred; the security measures we take to protect your personal data; the purposes for which and the period during which such data is retained; and the types of personal data we collect.

This Policy applies to any operation or set of operations performed on personal data or sets of personal data, whether or not by automated means, including collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

This Policy is periodically updated and may be amended whenever deemed necessary, without prior notice, always within the applicable legal framework and in accordance with any changes in data protection legislation. We therefore recommend that you review this Policy regularly in order to remain informed of any amendments.

What is personal data?

Personal data means any information relating to an identified or identifiable natural person, such as a name, identification number, address, etc.

Data concerning health, including information relating to a person's physical or mental condition or the provision of medical services, falls within the broader definition of personal data but constitutes a special category of personal data.

The College will not process your personal data without your consent. However, in exceptional circumstances, the College reserves the right to process your personal data to the extent permitted or required by law and/or pursuant to court judgments, prosecutorial orders or other legally binding decisions.

How is your personal data collected?

Your personal data is collected in the following ways:

(a) You provide it to us when you apply for employment with the College or submit your CV. The provision of your personal data when submitting a CV for the purpose of seeking employment with the College is, by its nature, voluntary, as otherwise it would not be possible for us to assess your suitability for employment. (b) You provide it to us when submitting an enrolment application at the beginning of the academic year. The submission of your information is voluntary, and it is processed with your consent solely for the purpose of the proper performance of the relevant agreement. For further information, please refer to our Student Data Use Policy and Alumni Data Use Policy.

(c) Automatically, through the web browser or mobile device you use to access our website, www.aic.edu.gr.

(d) You provide it to us when completing online forms or sending us an email in order to obtain information about or make use of the services available through the College's website, www.aic.edu.gr. The submission of your basic personal information is voluntary, and it is processed with your consent solely for the purpose of informing you about the services and activities of the College.

Where your consent is required for the collection of personal data, such as for receiving our newsletter on a regular basis, your consent will be expressly requested. You have the right to withdraw your consent at any time.

What types of personal data are collected?

The personal data collected and subsequently processed may include your name, address, CV information and, more generally, your contact details, including your email address and telephone number, as well as any other information described in detail in the relevant policies published by the College.

In addition to the information you provide to us, we may collect technical information that constitutes personal data, such as the Internet Protocol (IP) address of your device, including a desktop computer, laptop, tablet or smartphone.

Such technical information is used to ensure the proper operation and performance of the website and is not permanently stored within our infrastructure.

What principles govern the processing of personal data by the College?

The College processes your personal data fairly and lawfully and for clearly defined purposes, as described in this Policy.

The personal data processed by the College is limited to what is strictly necessary for the achievement of these purposes, is accurate and kept up to date, is retained for a period determined by the purposes of the processing, is protected through appropriate security measures, and is not transferred to countries that do not provide an adequate level of data protection.

Who collects personal data and for what purpose? Is it transferred to third parties?

The collection, processing and retention of information contained in CVs, including details relating to qualifications, professional training and professional experience, is carried out solely for the purpose of enabling the College to assess a candidate's suitability for a potential position.

Such information is retained solely for this purpose and is processed exclusively by the College's Human Resources Department.

The collection, processing and retention of student data relating to identification, health information and biometric data is carried out for the purpose of creating and maintaining student records, as further described in the Student Data Use Policy. All such data is retained solely for the purposes described and is processed exclusively by the College's Registry.

The collection, processing and retention of your contact details is carried out solely for the purpose of informing you about the College's services and activities. All such information is retained solely for this purpose and is processed exclusively by the College's Marketing Department.

Personal data may be transferred to partners or third parties for further processing in connection with the provision of services, the evaluation and improvement of website functionality, marketing purposes, data management and technical support.

Such third parties are contractually bound to use personal data only for the above purposes and not to transfer or disclose personal information to other third parties unless required to do so by law.

The College undertakes not to commercially exploit your personal data by selling, renting, transferring, publishing or otherwise disclosing it to third parties, nor to use it in any other manner or for any other purpose that may compromise your privacy.

How long is my personal data retained?

For processing relating to the assessment of candidates for potential employment with the College through the submission of a CV, we consider a period of twelve (12) months to be a reasonable and necessary retention period.

Following the expiry of twelve (12) months from the date on which your CV was received, the relevant file containing all of your personal information will be deleted.

For processing relating to the maintenance of your student records and the provision of information regarding our services and activities, the College considers the duration of its relevant operational activity to constitute a reasonable retention period.

What rights do I have in relation to the processing of my personal data?

You have the right, at any time, to ask us what personal data concerning you we process, the purposes for which it is processed, whether it is disclosed to third parties and, if so, to whom, as well as to request other relevant information.

You also have the right to obtain, free of charge, a copy of your personal data upon request.

Other rights available to you under applicable legislation include the right to request the updating and/or rectification of your personal data, the cessation and/or restriction of its processing, and its deletion from the College's systems, provided that there is no other legal obligation requiring its retention.

You also have the right to data portability and/or to object to the processing of your personal data.

Any request submitted must be accompanied by appropriate proof of identity and must include the information required in order for the request to be processed, such as identification of the data requiring rectification, as described in the terms of use applicable to the relevant service.

The College will make every reasonable effort to respond to your request without undue delay and, in any event, within one month of receipt.

This period may be extended by a further two (2) months where necessary, taking into account the complexity of the request and the number of requests received. You will be informed of any such extension, together with the reasons for the delay, within one month of receipt of your request by the College.

Where you submit a request electronically, the response will, where possible, also be provided electronically unless you request otherwise, for example by requesting a written letter.

Data relating to criminal convictions or offences will only be requested or processed where this is legally permitted and relevant to the position concerned.

We process candidate personal data for purposes including:

  • assessing a candidate's qualifications, experience, skills and suitability for a position;

AIC processes recruitment-related personal data only where there is an appropriate legal basis.

We process personal data necessary to assess your application and determine whether to enter into an employment relationship with you.

This includes the processing necessary to review your CV, assess your qualifications and experience, conduct interviews and make recruitment decisions.

To comply with legal obligations

We may process certain personal data where necessary to comply with obligations imposed by applicable employment, social security, tax or other legislation.

For our legitimate interests

Where appropriate, we may process personal data on the basis of our legitimate interests in:

  • administering and managing recruitment processes;
  • maintaining appropriate records of recruitment decisions;
  • ensuring the security and integrity of our recruitment procedures; and
  • establishing, exercising or defending legal claims.

Where we rely on legitimate interests, we consider whether those interests are compatible with your rights and freedoms.

Consent

Consent will only be relied upon where appropriate and where another legal basis does not apply.

Where processing is based on your consent, you may withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

6. Who may have access to your personal data?

Access to candidate personal data is limited to individuals who require the information for legitimate recruitment purposes.

Depending on the position and the recruitment process, this may include:

  • members of AIC's management;
  • the relevant department head or hiring manager;
  • authorised administrative or Human Resources personnel;
  • members of a selection or interview panel; and
  • authorised external service providers involved in the recruitment process.

Where third-party service providers process personal data on behalf of AIC, they are required to process such information only in accordance with our instructions, applicable contractual requirements and data protection legislation.

Personal data may also be disclosed where required by law, by a competent public authority or pursuant to a legally binding request.

AIC does not sell or rent candidates' personal data to third parties.

7. International transfers

Where a service provider involved in the recruitment process processes personal data outside the European Economic Area (“EEA”), AIC will ensure that the transfer is carried out in accordance with Chapter V of the GDPR and that an appropriate transfer mechanism or safeguard is in place.

Depending on the circumstances, such safeguards may include a European Commission adequacy decision, Standard Contractual Clauses or another mechanism permitted under applicable data protection legislation.

8. How long do we retain your personal data?

Where you apply for a specific position, your application and the personal data associated with the recruitment process will normally be retained for up to twelve (12) months following completion of the relevant recruitment process.

This retention period allows AIC, where necessary, to maintain appropriate recruitment records and to establish, exercise or defend legal claims.

After the applicable retention period has expired, your personal data will be securely deleted or anonymised unless:

  • a longer retention period is required by law;
  • the information is necessary in connection with an ongoing legal matter; or
  • you have agreed that AIC may retain your details for consideration for future employment opportunities.

If we wish to retain your CV specifically for future vacancies beyond the standard retention period, we will request your consent where consent is the appropriate legal basis.

Where such consent is provided, you may withdraw it at any time.

9. Security and confidentiality

AIC implements appropriate technical and organisational measures designed to protect candidate personal data against:

  • unauthorised or unlawful access;
  • accidental loss;
  • unauthorised disclosure;
  • alteration;
  • misuse; and
  • destruction.

Access to recruitment information is restricted to authorised persons who require access for legitimate business purposes.

Individuals with access to candidate personal data are required to respect its confidentiality and handle it in accordance with applicable policies and procedures.

10. Your data protection rights

Subject to the requirements and limitations of applicable data protection legislation, you may have the following rights in relation to your personal data:

Right of access

You may request confirmation as to whether AIC processes personal data relating to you and obtain access to that data and relevant information concerning the processing.

Right to rectification

You may request the correction of inaccurate personal data or the completion of incomplete personal data.

Right to erasure

You may request the deletion of your personal data where the conditions provided by applicable data protection legislation are satisfied.

This right is not absolute. AIC may retain certain information where there is a legal requirement or another lawful basis for doing so.

Where processing is based on AIC's legitimate interests, you may object to such processing on grounds relating to your particular situation.

Right to data portability

AIC will respond to requests without undue delay and, in principle, within one month of receipt.

Where permitted by the GDPR, this period may be extended by up to an additional two months, taking into account the complexity and number of requests. If an extension is required, you will be informed within one month of receipt of your request and provided with the reasons for the delay.

Requests are generally handled free of charge. Where a request is manifestly unfounded or excessive, particularly because of its repetitive nature, AIC may charge a reasonable fee or refuse to act on the request, as permitted by applicable legislation.

Photographs, Video and Other Media

AIC may create photographs, video recordings or other audiovisual material during educational activities, ceremonies, events, conferences, seminars and other College activities.

Photographs and video recordings are personal data where an individual can be identified.

They are not treated as biometric data merely because they contain an individual's image. They would constitute biometric data under the GDPR where they are subject to specific technical processing for the purpose of uniquely identifying an individual.

The use of identifiable photographs or video for promotional, marketing or public communication purposes is separate from the delivery of your academic programme.

Where AIC relies on your consent for such use, participation will be voluntary, consent will be specific and you may withdraw it at any time.

Choosing not to consent to promotional use of your image will not affect your academic relationship with AIC.

Where photographs or recordings are taken during an event on another lawful basis, appropriate information will be provided to participants and reasonable measures will be taken to respect individuals who do not wish to be prominently photographed or recorded.

We generally collect personal data directly from you, including when you:

  • request information about a programme;
  • submit an application;
  • enrol as a student;
  • communicate with AIC;
  • access or use academic platforms and services;
  • submit assessments or other academic work;

Student Support and Welfare
